Selecting the Best Project Management Software

The best project manager is supported by a project management software tool that caters to unique project requirements. When selecting a software to run a project or business, many buyers overlook key factors that ensure a successful project management software implementation. The purpose of this article is to provide business owners and project managers with insights on how to select the best project management software.

Ranking Business and Project Management Priorities

When evaluating a project management software or a business software, it helps to have a thorough understanding of the day to day project management activities and needs. This helps identify whether or not and how the software is capable of solving business and project management problems. Since every project and business has unique qualities, by studying current project management practices and theoretically applying them to the project management software in question one can almost identify one-for-one how each problem or project management need can be resolved using the software. Listing project management software features in order of priority is time well invested into the project management software selection process. By ranking business and software needs, a manager creates a clear picture on how to create a best-fit between project management activity and software.

Assessing Future Project Management Requirements

Although it may be difficult for a manager to predict exactly how project management software requirements may evolve over time, it is possible to understand the degree of flexibility that the software accommodates. Flexible project management software allows a company to grow and change over time. The more flexible the software, the more options project managers will have to accommodate project-specific situations that were not accounted for or expected during the project management software selection process. Project management software that is simple to use, may or may not have the ability to match evolving needs of a company as volume increases or decreases. The ability to change and adjust to as many situations as possible is of tremendous value to a company, and therefore a project manager. All too often project management and business data is segregated across multiple different software applications that do not synch up with each other and often create additional, undue burden on the company. Yet, the company still needs a means of tracking abnormal situations. An effective project management software solution accommodates change and can be tailored to meet changing business demands without degrading former or existing projects management needs already set forth by existing projects.

Project Management Software and Accounting Software Integration

It is a reality that there is no one single software that services every business need a company has. Therefore, the ability for one software to share data, import/export or otherwise synchronize business data with another software becomes an essential component to the software selection process. Software product vendors may put forth “a one size fits all” attitude however the best way to ensure that a project management software can share data or synchronize with an accounting software is to understand the technical requirements of both software systems. This way, the software systems in place and the software being selected may be assessed as a set of integrated software systems that work together rather than single handedly, as how most businesses select software. In fact, software integration as a primary driver to the software selection process will dramatically reduce implementation costs, due to a reduction of data setup and a consistency of terms and language used across different business software systems.

Project Management Software Vendor/Customer Relationship

The project management software vendor and the customer should establish a mutually supportive relationship. When selecting a project management software to run and manage business data and for project management, the project manager should factor into consideration how responsive and competent the project management software vendor is in both the project management software itself and also the business industry that the project management software is intended to serve. The project manager should also observe how willing to help the project management software vendor is, and how promptly and accurately the project management software vendor follows up and follows through. These are all indications of how the project management software vendor will perform when supporting the customer.

Many project management software vendors offer support for project software-specific questions, however such questions often call for business-related questions on how to handle best project management practices, for example, using the project management software. Since a project software is to support projects for the business, there should be no separation between answering technical questions about how to use the project management software and questions on how to solve project-related questions within that project management software.

The vendor should become an active participant in supporting a project manager or company with it’s own project management processes, thereby having those project processes clearly defined and managed within the project management software. Once a business is invested into a project management software, the switch can be costly depending on whether or not the company wishes to migrate project management data from one software to another. Therefore, it is in the best interest of a project manager to, when selecting a project management software, to analyze how much effort it would take to switch to a new software, if the company reaches the limits of the current project management software.

Although it may be difficult to assess the cost of moving project management software data to a new project management software without knowing ahead of time what the new project software is, part of the project software selection process should identify how such a switch in systems will be addressed, should such steps be taken in the future.

It is in the best interest of both the customer and A1 Enterprise to provide a project management software that works for our customer and our customer’s specific industry. If, in the event, A1 Enterprise feels that the customer needs are better matched with any specific project software, A1 Enterprise makes suitable recommendations and provides assistance in the project management software selection process when needed by the customer. A1 Enterprise has a substantially diverse background in software development and customized software for small businesses and large companies.

Selecting Business Software

Selecting business software comes down to compatibility. Most business owners recognize the need for basic software: data base, accounting, word processing. From Sales campaigns to purchase, a relational data base can track very important data that can be used later for management reporting. There are two types of data bases. The first is a contact format, meaning that with simple data entry, names, addresses, phone numbers, etc. are kept, address-book style. However, the “memo” fields on most contact data bases are limited. So, if you need substantial room in which to record additional data such as project information or vendors related to projects, a relational data base is likely more suitable. Data base software has a “sort” feature that allows you to sort information based on any key word. This is enormously handy for sales because it creates a clear picture of areas where sales are concentrated and the types of sales in those areas. It also helps project managers who may wish to keep an archival record of past sales of certain products or services for resale campaigns. Entire reports may be created simply by sorting information from a data base.

The second type of business software most commonly used on a day-to-day bases is wordprocessing. This is crucial if your correspondence includes sales letters, proposals, contracts and management report summaries. Formerly, fully functioning wordprocessing software was installed on hard drives when a computer was purchased. However, at present, only basic versions are included. If you will be using a wordprocessor for significantly more advanced work that includes embedding graphics or as a compatible venue for the internet, you may wish to look into a more sophisticated wordprocessing software for your needs.

Most businesses uses accounting software. However, at present, accounting software has been expanded to include many accounting features formerly used only by CPAs. Before you purchase accounting software, determine the type of accounting your business is regularly involved in. If your business transactions are simple, look for software that accommodates your needs. If your daily business transactions are more complex such as in the case of engineering where transactions have more than one phase, you may need to shop around for specifically oriented accounting software.

If you plan to do your advertising and company sales literature in-house, business software that allows you to create and publish full-featured brochures and flyers is a necessity. This type of software usually also includes the ability to create web pages for the internet. This software is graphically oriented and is fairly user-friendly.

Some business require very business specific software. Example: Engineering businesses rely heavily on graphic design software such as AutoCad to create structural and mechanical design drawings. Architectural software is also business specific. There is even a line of software available for libraries and museums.

Above all, it’s important that your business software is compatible. Often, you may have text to export into a brochure you intend to publish or for a web page. When your word processing software isn’t compatible, time and money is wasted.

Selecting the Right ERP System for Your Organization

Successful implementation is based on your selection of ERP. If you are searching the right ERP software package for your organization and need to know how to select right ERP? What would be ERP initiative? Is your organization will be benefited with new ERP? Then you have come to the right place.

In this article, we will discuss the planning for a successful ERP implementation experience and our first question is when should implementation planning begin? ERP implementation planning should begin at the first stage of any business process reengineering or information technology strategy that might rely on an ERP system.

What this really means is that planning for the successful enterprise resource planning software implementation experience begins mainly during the definition of your business requirements and the evaluation of enterprise software packages that will meet these requirements. If you fail to select right ERP software you will likely experience disappointment, delays and overruns trying to make the wrong software ‘right’ by doing so many customization. More customization in any enterprise software will result failure implementation. If you are trying to customize original software to map your business requirement, you are starting non ending project which ends with failure. It is better to select software which already runs in same vertical. Implementation failure can be reduced or prevented by selecting the right software and experience vendor.

It should be well understood that all software package you consider represents an out-of-the-box way of doing business that might, or might not be suitable in every way to your business. Each enterprise system considered will impose its own business logic on an organization’s strategy and culture. During the evaluation of an ERP system your company must ask all possible queries.

Remember that any enterprise software you select is the one that you expect will tightly integrate into your business processes and that will require minimal or no customization. Of course that begs the question, will any one enterprise system satisfy all of your business requirements? – The answer is generally no.

Just as building complicated, integrated management information systems are not the core, or main business of most organizations, organizations should not channel any significant effort into making a wrong software selection decision work for its core business.

As a general rule, organizations should limit the wish list of their ERP package to the vital and essentials – functions that are strategically unique or competitively necessary.

Successfully Selecting and Fulfilling your New Accounting Platform

Readiness for Change

The initial stage to executing a new accounting platform is assessing your company’s willingness for change. Before you embark on looking at new features, take time to set practical goals and build momentum. Pre-engagement preparation is the key to success. The vast majority of people who purchase accounting software typically exhaust most of their time assessing features. Time after time, companies do not comprehend the fact that they should instead be spending their time evaluating their own business. The more aware you are of the problems you expect your new accounting platform to solve; the better informed your final choice will be. Hire an outside consultant to discover where in your accounting cycle you experience the biggest productivity losses and highest error rates. Uncover how errors are influencing your business. Identify which tasks call for automation. Start by pinpointing the setbacks you faced during your current fiscal year because your existing platform was not sufficient.

It’s Time for a Change

Change before you have to. You don’t want to be losing money to reduced productivity and opportunity costs before you realize that your system is not up to par. Initiate your needs analysis now; don’t wait until you’ve already seen all of the warning signs: time consuming manual processes, slow turn around, etc. An innovative system will provide expansive advancements whose overall effect may be hard to assess at first. Consider all the benefits of more reliable and faster access to data. Improvements in strategic planning can only come about from more reliable and faster access to data. With better and faster access to information you’ll be able to give your customers better, faster and more professional service.

Accept the Truth. Improvements Cost Money.

Applying the latest accounting software will necessitate an investment of time and capital. Hidden costs of outdated systems are reducing your output and toning down your competitive edge. The appropriate system will pay for itself with methodological enhancements and better data for decision making. Numerous companies are deciding on more up to date, automated systems for faster processing of accounting information and improved layouts of accounting reports. When considering your return on your investment consider these advantages.

Have It Meet Your Specialized Needs

Your company, like most, has some unique requirement that cannot be amended. Perhaps you need multicurrency capabilities or you need to track products by their serial number. Does your industry require special reporting needs? Make a list of requirements exclusive to your industry and organization.

Revising Procedures

Through clear communication and patient education retraining staff to utilize a different accounting platform should not be a problem. Financial software affects many departments within your organization. One of the easiest ways to insure collaboration is to involve representatives from other departments right from the beginning; this includes not so likely groups like Sales. Plan to spend more time than you’d like handling objections, especially in the early stages of the project. In addition, it is important to have a strategy for fine tuning the system once it’s installed. Rely on the new system to satisfy almost all of your needs and wants, and figure out how you are going to deal with the remaining 10 percent. Such drastic changes could result in a reduction of staffing, and changes in your procedures.

Look for Solutions that Change as Quickly as your Business Does

In order for a platform to meet your business wants, it should interconnect with your present business system and adapt to technological innovations. Ideally speaking you’re looking for a solution that’s easy, intuitive and closely matched to how you already do business. Be sure the platform will be capable of:

v Adopting to the changing size of your business

v Embracing industry-standard technology promptly and effortlessly

v Being customizable, like using memorized reports

Allow Integration to be at the Top of Your List

When assessing accounting systems, try to see how effortlessly they integrate with other solutions. Strong integration will save you time, uphold greater efficiencies and create added value for your business. Connecting all functions internally, with the added ability to connect to customers, suppliers, and other business partners externally can considerably shrink lead times and waste through the supply chain. Closely integrating your financial accounting software with your other business management solutions will radically improve your bottom line.

Human Resource Management

Will the new accounting platform include HR capabilities? Pay particular attention to whether it will meet your company’s specific requirements in other areas such as integration with federal and state agencies, and online filing of reports and documents. The ideal accounting solution should be sure to integrate and synchronize with payroll, thus eliminating the need for unnecessary data entry.

Discover the Wonderful World of Application Hosting

This is a very exciting topic. One of the challenges of implementing an integrated business management solution is that it demands a rather large investment in hardware, software, and technical support. Either you can take on the burden of maintaining the fixed costs by your organization, or you could utilize an ASP. This innovation allows you to decrease your initial costs by actually “renting” hardware and software, which exist off site. An ASP alternative can convey considerable savings on both the initial investment and continuing maintenance and upgrade costs.

Decide on Your Software before Your Hardware

System requirements are usually influenced by software and not hardware, hence you should choose your software first, and then buy hardware recommended by the software manufacturer or you consultant.

Check that Your Software Can be Customized

Not one software package is fitting for everyone. No accounting solution in the marketplace will contain every single feature you’d like. Lots of packages offer helpful alteration features that let you change reports or the screen layout. On behalf of even more control over your system, look for software that permits you to build more specific customization. This will make certain that your software will meet your needs no matter how your business changes.

Look for R&D Excited Vendors

A good company heavily devotes capital to engineering and develops new product features and improvements frequently. These companies are working side by side with new technologies and make confident their customers do too. A good software company will offer regular upgrades at reasonable prices.

Why so Popular?

If a company has lots of users, they’re most likely doing something right. A large user base acts like an insurance policy for users. Opt for a product that has satisfied companies similar to yours, stood the test of time, and provided good value.

Assess What It Cannot Do

Software product restrictions disclose more information than a list of all the new features. Figure out the most customers, vendors and inventory items allowed, and find out the maximum number of users that can work with a particular application at the same time.

Trial Run Possible Slip-Ups

Humans are error prone. If the software copes with mistakes wisely, that’s a sign of good design. Some accounting systems out on the market do not permit you to fix an error in a purchase order without canceling the entire purchase order and re-entering it from scratch. Having duplicate customers and vendors, incorrect item numbers and unreasonable amounts and dates can be costly errors; look for software that tests for errors.

Assess your Company’s Learning Curve

Cleverly drafted software is easy to learn. Look for an intuitive interface that will shorten training times. Look for input fields in consistent and expected locations, and screen design similarities among all modules. Be sure that the software comes with effective learning tools, classes, and outside consultants to speed the learning process. Let end-user support be the best part of the deal.

Go Paperless

All small business owners strive to resourcefully run their businesses. Time wasted on tasks that do not increase profits is not time well spent. Wasted time equals missed opportunities for generating income. Small business owners usually have smaller staffs and must run those staffs as efficiently as possible. As you explore accounting and other software solutions, focus on how much paper you can eliminate during order entry, basic accounting input, shipping and handling efforts, and other areas within your organization. The more paperwork you eliminate, the more efficient and error-free your organization becomes. Consider systems with a document management solution.

Appropriately Forecast Your Costs

Work with a consultant that will forecast the cost of implementation as accurately as possible. Avoid surprises; obtain a thorough itemization of costs and fees before and during the requirements phase. If objectives change, make sure you ask for adjusted cost estimates.

Virtual Team Member

The consultant will be a virtual member of your company for end user support. You may even end up with a long-term relationship if the consultant helps change and extend your system as your company grows. Choose a consultant who is fluent in your company’s philosophy and culture.

Stay Committed to the Details When Selecting New Construction Software

Construction Management Software selection can be an extremely trying experience; and, it can also be highly rewarding. The times when you wrack your brain over details such as how to effectively and safely integrate current business practices, processes and other methodologies into a software package that has been designed mostly for a generic scenario can be downright unsettling. Or, perhaps you will wonder how to take advantage of the software’s more broadly accepted practices for your own business.

The bottom line is that you must remain committed to the aforementioned details throughout the process of selecting new software. Only by remaining committed will you find the right software and implement it correctly. If you fail to consider every detail, chances are that you will end up with a less than optimal solution.

However, do not fear – the rewards to come to those who have committed the necessary resources to ensure that the best strategies are carried out in selecting a software package that will serve its intended purpose and help meet current and future business goals.

Selecting construction management software is also quite like selecting an automobile or other similar commodity. Software companies, like most companies, compete with one another to bring the best software packages to their potential customers; and the process for selecting which package is best for your particular company needs can be a frustrating task.

Another thing to consider are your familiarity with the technical jargon that will be used as you speak with software vendors and review potential software solutions. If you feel like your subject matter expertise is lacking in this area, make sure you enlist the help of somebody who will understand and will be able to explain your options to you.

Of course, the individuals involved in the software selection process also need to be intimately familiar with the overall structure of the business as well as its operational procedures. They should have a good understanding of how each piece of the business interacts with the others as well as with external suppliers, vendors, consultants, etc.

They also need to have a keen understanding of software and computers, in order to be able to select the best software fit for the business. If they still think a mouse is a rodent, they probably should not be a part of the software selection team!

Again, the key to making the most out of selecting new construction accounting software and getting the maximum benefit from the new software is staying focused on the details. Remember that you are in control. If the details get confusing, take a step back and get other opinions before moving forward. A vendor’s goal is to sell you software, regardless of whether or not it is the optimal solution for your organization. Staying committed to your plan and addressing all of your concerns before making a purchase will ensure you end up with the best possible construction software for your applications.

Things to Consider When Selecting New Construction Software

Companies in the middle of selecting new construction software have likely realized that what sounds simple on paper is far from as easy task. Organizations that are the most successful in this undertaking, in terms of both identifying the best possible solution and implementing it as quickly as seamlessly as possible, generally have somebody or group of people in charge of the new software project. If an individual is chosen, this person needs to have an intimate knowledge of both software and of the company’s operational procedures. Further, the individual needs to have a deep understanding of how the software and company operations impact each other. This includes knowledge and experience working with software interfaces and the standard data collection/protocols for construction companies. Unfortunately, most companies do not have an individual with these qualifications working for them, so the purpose of thise article is to describe the kind of input that decision makers should seek out from other areas of the company as well as provide a list of areas that all companies must research extensively when evaluation potential construction management software packages.

Input and Software Selection Team Members that are Good to Have

While larger companies will have the advantage of being able to assign one individual to oversee the entire software selection process, all companies will need to get input from multiple areas of the company. The following segments of the entire organization should be included, to some extent, in the new software identifcation and evaluation team. Some of these members will need to be permant members of the team while others can be consulted on an “as needed” basis. To what extent members are “as needed” or permanent will very depending on the company.

1) End users – this group consists of anyone that will be responsible for using the software, particularly those responsible for inputting data

2) Management – Mid and upper level managers will be the ones that use the software primarily for reporting purposes. As such, it is important to know what kinds of data are relevant for the particular company.

3) Accounting – Changes in software will impact how data is recorded and reported for accounting purposes. Thus, the accounting department (or third party accountant) will need to be involved in identifying the best software.

4) Payroll – Regardless of if your company has an internal payroll department or uses an external payroll service, they will need to provide valuable input in terms of selecting new construction accounting software.

5) IT (Information Technology) – Your IT department will play an integral role in installing the new software while allowing the company to not miss a beat. Thus, they will need to know what is required from them for any potential software solution to identify areas where current hardware may not mesh with the new software.

6) Other Departments – this includes any other departments in your company that will be impacted by new software. Which departments these are will depend on your organizational structure and company size.

7) Sub-contractors – These indidivuals need to be aware of how your change in software will impact their business operations with your company.

8) Suppliers – as with sub-contractors, your suppliers will need to know what changes are required on their end to allow you to make the most of your new software.

9) Vendors – When selecting software, be sure to pay as much attention to selecting the right vendor as you do selecting the right software. Check their service history, ongoing relations with clients, and so on to ensure you aren’t without the support you need down the road.

10) Other members, as deemed necessary based on the size of your company and your company’s unique operational procedures.

Factors that All Companies Need to Consider and Evaluate

While smaller companies will likely not benefit from having a full team dedicated to selecting new software, there are still things that all companies much consider when evaluating new construction software.

At the very least, all companies need to complete a thorough evaluation of the following factors and research points:

1) Product varieties – How many are there? What makes them different?
2) Vendors – How many are there? What makes them different?
3) Product history – look for testimonials from trusted sources or check construction software reviews
4) Vendor history – testimonials
5) Product functionality – while most software does the same “stuff” the manner in which it does it will be different. What is right for one company may not work for another.
6) Product protocols – what reports are standard? Can it create the custom reports you need?
7) Product interface – this will come down to personal preferences more than anything, but is important that you choose software that is the most user friendly for your set of users. Again, this will vary based on your unique company.
8) Product integration – will there be any issues integrating it with your current processes? Do you need to change processes or search for a different piece of software?
9) Other – This will depend on the unique organizational structure, personnel, and processes of your organization.

Three Things You Should Know Before Selecting A Web CRM Software Solution

Most of the articles on the internet discuss the benefits of web based CRM software. It is true that this subscription based business software model has a lot of advantages but potential customers must not neglect the challenges of CRM On Demand solutions.

The top three challenges are: integration, security and support. This article will discuss each of these challenges in detail and provide recommendations on how to effectively manage them.

Although technical integration of web based platforms is made a lot easier through the adoption of open standards (such as web services, SOAP, XML, etc.), a lot of challenges remain. As a matter of fact, the integration with regards to business processes and business objects requires a lot more investment during a customer relationship management implementation than the integration on a technical level.

An important complexity driver are the different underlying data models. When, for example, an SAP ERP back-end is interfaced with a Salesforce CRM package, both solution’s data models are different in many ways. In order to connect both applications a lot of analysis, design and implementation effort is required. This exercise typically involves a lot of interaction with people from different departments, business units and even third parties.

Customers should take this effort into account when determining the project implementation budget. Otherwise the project will get in financial trouble during its implementation.

A second web based CRM software challenge is security. As discussed in the previous paragraph, the technical integration of web based business applications is becoming more and more straight forward. The internet based CRM application is accessible from all over the web by anyone who has access to a computer and the internet. So any kid with an internet connection and some software tools can take a lucky shot at hacking into your web based customer relationship management application.

Of course, security is a number one priority for the CRM On Demand vendors like Salesforce, Microsoft and RightNow. However, IT managers should take this point very seriously and make it a priority when comparing and selecting the right online CRM solution.

The third challenge is the lack of control an IT department has over the operations side of a web based CRM software solution. When subscribing to a subscription based business application, the service comes with a standard service level agreement.

On first sight the SLA seems to provide some guarantees regarding the stability, performance and reliability of the software. However, in order to prevent any surprises when the CRM solution is in production, we clearly advise to thoroughly read all the SLA contract details. Customers should especially be cautious with regards to downtime clauses in case of maintenance.

This article discussed the main challenges for a web CRM software implementation: integration, security and support. Sponsors, senior suppliers and senior users must take these challenges into account when selecting business application in a software as a service model. During contract negotiations with CRM vendors we specifically advise to make clear arrangements regarding the operational stability, performance and up-time.

If you are a small business owner, you either have an accountant or you are an accountant. Either way, choosing the right accounting software is an important business decision. Some of the most important brands include Quickbooks and Peachtree.
Here are some of the important features to look for:
Adaptability: Small businesses in particular tend to change over time, and you need to make sure that the software you are buying today will be just as useful tomorrow. Are upgrades offered? How much trouble and expense is required to upgrade? How often are upgrades offered? Today’s software is likely to be obsolete in 5 years.
Support: How much support is offered? How effective is it? Is local service available or will you be restricted to dealing with a call center in India?
Price: Software packages vary greatly in price, not only among brands but also among merchants. Choose an appropriate package and then shop around for the best deal.
User Friendliness: How easy is it to use? If you are a sole proprietor, try using it yourself. Otherwise, have your accountant try using it and get his/her opinion.
Features: Don’t pay for features you don’t need, but look ahead 5 or 10 years when deciding which features you’re likely to need. If you don’t need them now, you can always check and see if your package can be easily upgraded to add features you may need in the future.
QuickBooks is by far the most popular accounting software, but then again there are many versions of Quickbooks available on the market. QuickBooks comes in Basic, Online, Pro, and Premier editions. The Pro Edition features tools such as the Cash Flow Projector and the Vehicle Mileage Tracker. Peachtree offers a premium small business accounting software package with over 125 functions including as in-depth inventory, time and billing and job costing features. Other popular accounting software packages include MYOB Plus Accounting Software and Microsoft Office Small Business Accounting.
Good luck!
